Frequently asked questions

What does migration from Classic to Cloud cost?

With our recent all-inclusive packaging, your personalized proposal will place your practice into the best-fit package—Start, Grow, or Scale—based on your practice’s needs, including providers, locations, users, and whether you operate a cash- or insurance-based clinic.

We have moved away from a strictly à la carte pricing model, allowing us to offer bundled solutions and significant cost savings through our new package pricing. A customized proposal request or product walkthrough can be set up with our sales team using the link above.

What data migrates from Classic to Cloud?

ChiroTouch Cloud is designed to preserve the information your practice relies on across three key areas:

  • Patient and clinical data: Patient notes, records, appointment history, future appointments, and Treatment Plans.
  • Scheduling and administrative data: Charge List, hot buttons, macros, alerts, appointment types, cancellation and rescheduling reasons, cases, and referral information.
  • Financial and insurance data: Open patient balances, primary, secondary, and tertiary insurance policies, fee schedules, payer groups, and payer plans.

Migrating from ChiroTouch Server to Cloud preserves up to 187% more data than leading competitors’ published documentation. Your migration team will review your eligible data, help reconcile your information, and confirm any exceptions before your transition.

How does CT Pay compare with my current payment processor?

CT Pay provides integrated payment processing within the ChiroTouch workflow, helping your team collect payments and post transactions directly to the patient ledger.

Processing rates and available features depend on your agreement and practice setup. Your representative can compare CT Pay with your current processor, explain terminal and card-on-file requirements, and review whether surcharging is available for your practice. Surcharging is subject to applicable laws, card-network rules, and processor requirements.

How will billing, claims, and clearinghouse workflows change?

Cloud brings billing, claims, electronic remittance, payment posting, and follow-up workflows into a connected online environment. Your billing team can continue working from the office or remotely with the appropriate access.

During implementation, your clearinghouse connection, payer settings, payer IDs, open claims, and billing workflows will be reviewed. Your migration team will help identify any process changes and prepare your staff or outside biller before launch.

What is Rheo AI, and how does AI Scribe work?

Rheo AI is ChiroTouch’s always-on AI assistant, designed to work alongside your practice throughout the day. It connects clinical, administrative, and patient-facing workflows to help your team document, summarize, schedule, and identify potential issues more efficiently.

The Rheo AI ecosystem includes:

  • AI Ambient Scribe: Captures conversations and creates complete SOAP notes in real time.
  • AI Intake Summary: Automatically populates charts from patient intake information.
  • AI Chart Assistant: Improves notes for clarity, tone, and professionalism.
  • AI Chart Summary: Summarizes care history for faster clinical insight.
  • AI Compliance Scan: Flags charting and billing inconsistencies before they become problems.
  • AI Assistant Scheduler: Supports conversational scheduling with intelligent appointment matching.

Together, these tools are designed to reduce administrative burden and after-hours work. Practices using the connected AI ecosystem have seen up to a 73% reduction in after-hours charting. Providers remain responsible for reviewing, editing, and approving documentation before it is finalized.

What are the main differences between Classic and Cloud?

Classic has served practices well with reliable, familiar workflows. However, it requires a server to maintain, back up, and eventually replace, with access primarily tied to the office.

Cloud is the next evolution of your practice. There is no server to own, and updates and backups happen automatically. Schedules and notes are accessible from supported devices in or out of the office, with a direct path to tools such as Rheo AI Scribe, digital intake, and compliance scanning. It’s the same practice—running lighter, with more flexibility. Cloud does require a reliable internet connection.

How long does migration take, and what training is included?

Migration follows a guided three-step process: Prepare & Learn, Migrate, and Launch. You’ll work with an Onboarding Specialist to review eligible data, reconcile your existing information, schedule your cutover date, and prepare your team. At launch, you’ll receive go-live support from the ChiroTouch team and access to the Migration Hub in CT Community.

On average, clinics that are excited and ready to take action complete migration in approximately 4–6 weeks or less. We also allow up to 90 days for practices that prefer to move at their own pace. Throughout the process, your team will receive training and guidance to help ensure a smooth transition.

Will my workflows, templates, macros, and integrations transfer?

Your migration team will review your current workflows, templates, macros, providers, locations, and integrations to determine what can transfer directly and what should be rebuilt or updated for Cloud.

Many practices use Cloud to simplify their technology stack, while others continue using selected third-party tools. We will evaluate your current systems individually and identify which Cloud features may replace, connect with, or complement them.

What about scheduling, intake forms, patient portals, and online booking?

Cloud is designed to support the patient experience from appointment scheduling through check-in and documentation. Depending on your configuration, patients may be able to book online, complete digital intake forms, check in using a supported device, provide electronic signatures, and submit insurance information digitally.

Scheduling rules can be configured around providers, appointment types, availability, and multi-step or multi-provider visits. Your team will help configure these workflows to match how your practice operates.

What happens after launching Cloud?

Support doesn’t end at go-live. Your onboarding and migration teams will prepare your staff before launch, and ongoing support will remain available after implementation.

Before you transition, your migration team will also explain how long you can access your Classic/server environment and what options are available for accessing historical data.
